FAQs

How can we transfer files to you?
Once your quotation has been provided and the commencement of work agreed, clients can upload files via our client area. Each user of the system has a unique login and password. All user passwords are hashed in the Transcription Global database, meaning that not even the Transcription Global team have the ability to view or in any way determine a user's password. Passwords are set by the user on their initial log in. Clients will have full access to the client folders and subfolders where required. All you need is a computer and an internet connection, it's that simple.
What level of detail is transcribed?
The level of detail transcribed can be agreed between you and your project manager at the commencement of the work.In its simplest form there are two different types of transcription: Verbatim Transcription, which is a full transcript of everything, including non verbal fillers (‘erms' and ‘ers') and Intelligent Verbatim, a full transcription where the non-verbal fillers (‘erms' and ‘ers') are removed by the transcriptionist. The level of detail is quite simply up to the requirements of the client.
How can you ensure site security, especially with file transfers?

All files are transferred using a secure file sharing system. Our file sharing system has the following computer network security measures:

  • Ballistic-proof exterior, including doors & windows
  • Fingerprint scanners and ID checking for all entry and exit of the facility
  • Double Man Traps force double verification and provides extra secure data centre entry
  • Redundant off-site monitoring of all security systems
  • Locked Cabinets and Cages
  • Our privately managed server is equipped with the latest firewalls and computer internet security updates to help keep your data completely safe.

All communications between our secure file sharing system and the user are encrypted using the Secure Socket Layer (SSL). This is the same functionality used by banks and popular e-commerce services such as Amazon.com for secure communication. This is why we no longer use FTP, FTP transfers files and passwords in clear text for anyone to see. This can be a major security hole, especially for companies in businesses such as healthcare, law, accounting, or any industry where data privacy is important.

Transcription Global users create folders in the secure file sharing system, only the specified users that are designated by the owner of the folder are able to access the contents of those folders. Users who do not have access to the folder will not even see the folder in their view of the system.

Each user of the system has a unique login and password. All user passwords are hashed in the Transcription Global database, meaning that not even the Transcription Global team have the ability to view or in any way determine a user's password.

How do you ensure confidentiality?
Confidentiality is our first and foremost priority at Transcription Global. All of our transcriptionists, prior to the commencement of work must sign our confidentiality agreements, which adhere to the provisions of the Data Protection Act 1998, a copy of which can be provided upon request. For specific project we are also happy to adhere and sign to our client confidentiality agreements.
Who will actually transcribe the work?

Transcription Global has a combination of both full time staff and remote staff. The transcriptionist working on your specific project will depend on which type of transcription you are having completed. All English transcription, legal, medical, market research and PACE are undertaken by UK based staff.

For our translation work, we believe that all translators must have a mother tongue in the source language and as such are generally based in the country of that particular language. All translators are highly qualified and experienced in their own particular fields and have excellent spoken and written English skills.

Transcription Global has realised the potential for remote based staff, particularly staff who are looking to work from home and can work 24/7, 365 days a year.

What is your turnaround time?
Turnaround time can be agreed at the outset of the project with your project manager. Costs of transcription are also reflected in turnaround time, for example the costs for an urgent one day turnaround time will generally be higher than a three day turnaround service. All quotations are issued depending on a number of factors including, file length, turnaround time, nature of audio (i.e. number of speakers) and amount of transcription. Deadlines are agreed at the start of the project and are taken very seriously. Your project manager will have responsibility for meeting these deadlines and keeping you fully informed.
How do you ensure transcribed / translated work is of a high standard?
All work transcribed and translated once returned is then further subject to a full Quality Assurance procedure by proof readers within Transcription Global. All unintelligible words are checked by at least two people.
What are your rates?

Our extremely competitive rates can be discussed and quoted upon request. Rates vary according to a number of factors, such as turnaround time, number of speakers, amount of transcription. Discounted rates are available for long term projects.

Digital transcription industry standards estimates that a 60 minute audio recording should take somewhere between four to five hours to complete, but depends on a number of factors including the quality of the audio file, the number of speakers, voice clarity and the recording environment.
